⏰ Overtime Policy

Book A Santa operates on agreed shift times, as confirmed by Myer Head Office and/or store management.
While our Santas are happy to accommodate minor delays, clear guidelines are in place regarding overtime:

Standard Overtime Conditions

Grace Period:
Santas will graciously stay up to 15 minutes beyond their scheduled finish time without additional charge, to ensure a smooth customer experience.
Paid Overtime:
Any time worked beyond 15 minutes will be considered overtime and charged accordingly.
Paid overtime may arise in the following circumstances:
- When visitor queues exceed the time scheduled, and leaving would disappoint waiting families.
- When store or centre management specifically requests Santa to stay longer to accommodate customer demand.
Overtime Rates:
Overtime is paid at the performer’s standard hourly rate, calculated in 15-minute increments.

Performer Rights

Overtime availability is not guaranteed.
Additional shift availability is not guaranteed.
Santas retain the right to decline overtime requests or additional shifts without penalty.

Additional Payments

Performers are paid an additional fee for any bookings that require beginning before 8am or working past 10pm.

🎅 Additional Shift and Extra Work Policy

Book A Santa is committed to supporting Myer's operational needs wherever possible. We understand that during peak periods, additional shifts may be requested.
The following outlines our policy for managing extra work:

Extra Shifts

Performer Availability:
- Santas are generally happy to accept extra shifts, provided they do not conflict with pre-existing confirmed bookings.
- Santas have the right to decline extra shifts without penalty.
Alternative Arrangements:
- If the originally rostered Santa is unavailable for the extra shift, Book A Santa will make reasonable efforts to source an alternative qualified performer.
Shift Minimum:
- Extra shifts are paid at a minimum of 3 hours, regardless of the actual shift duration booked.
Availability Not Guaranteed:
- Extra shift coverage is subject to performer availability and is not guaranteed.
Communication Requirement:
- Centres or Myer Store Management must notify Book A Santa Head Office of all requests for additional shifts.
- Direct arrangements between centre management and performers are not permitted without Book A Santa's approval.

Work Outside Standard Scope

Where work falls outside the standard seasonal schedule (for example):

Special events before the official Christmas season commencement,
Private VIP client sessions,
Special appearances for advertising, promotional activities, or media coverage,

these services will be provided at public commercial rates, not included within the standard Santa service agreement.

Book A Santa ensures flexible, responsive support for Myer stores while protecting performer welfare and maintaining clear commercial arrangements for any additional work

🎅 Advertising and Promotional Activities Policy

At Book A Santa, we are committed to supporting Myer's marketing and promotional activities during the Christmas campaign, while ensuring fair and respectful use of performers' time and likeness.

In-Scope Advertising and Promotions (Included)

Santas are available at no additional charge for in-scope promotional activities that occur on-site during their scheduled Santa sessions.
This includes:

Media appearances such as news interviews conducted on site
On-site radio interviews
Social media content created during Santa's scheduled hours at the store

Out-of-Scope Promotions (Charged Separately)

Where promotional activities require the Santa performer to participate off-site or outside their normal working schedule, additional charges apply.
Examples include:

Off-site radio interviews (e.g., studio visits)
Television studio appearances
Any off-site promotional appearances

These will be charged at Book A Santa’s standard public commercial rates.

Commercial Advertising and Image Rights

For high-profile advertising uses outside typical in-store promotions — including but not limited to:

Television commercials
Billboard and poster photography
Flyers, brochures, and catalogues
Website or digital media advertising featuring the Santa's image

the following charges will apply:

Public Commercial Rates for the performer’s time
MEAA Standard Use of Image Fee (Media, Entertainment & Arts Alliance rates for commercial image licensing)

This ensures fair remuneration for the performer’s professional likeness being used in ongoing or widespread advertising campaigns.

🎅 Performer Payment Policy for Training and Induction

Book A Santa is committed to ensuring that all performers are treated fairly and ethically in accordance with Australian workplace standards and Myer’s Ethical Sourcing Principles.

All performers will be paid for their time associated with activities related to their work with Myer, including but not limited to:

Paid Activities

Training Sessions:
All mandatory training sessions, whether conducted in-person or online, are paid at the performer’s applicable hourly rate.
Induction Sessions:
All mandatory site inductions, onboarding, and compliance briefings are considered paid time.
Travel to Training or Induction:
Where a performer is required to undertake unreasonable travel (for example, travelling from a regional location to a metropolitan site for an induction session), and where an online or local alternative is not made available, performers will be compensated for their time reasonably associated with travel.
Training Sessions and Induction days are paid to performers in the first week of December, and/or after a certain number of shifts.

🎅 Performer Work-Related Expenses Policy

Book A Santa recognises that our performers are engaged as professional entertainment contractors providing services as guests within Myer stores.
To ensure they can complete their work effectively and without personal financial burden, necessary work-related expenses must be covered.

Parking Arrangements

Where parking is required to perform their duties at a Myer location, performers must be provided with one of the following:

Access to a staff parking pass for the duration of their shift,
Free on-site parking organised by the centre or Myer store management, or
Reimbursement of paid parking fees where free or staff parking is not available.

Travel expenses

In the occasion a performer is requested by client to attend a Myer store at a location considered an unreasonable travel distance from their usual residence or local region, their travel expenses will be reimbursed.

Travel will be reimbursed in line with the current Australian Tax Office (ATO) cents-per-kilometre method.
Performers will be reimbursed for the distance travelled between their usual place of residence and the assigned Myer store location, minus any normal commuting distance if applicable.
All travel reimbursement claims must be submitted with supporting documentation as per Book A Santa's standard process.
If using public transport, performer will be reinbursed the cost of what would have been spent in fuel otherwise.

🎅 Cancellation policy

Book A Santa acknowledges that operational changes can occur, particularly in a retail environment. To ensure certainty for our performers and planning teams, we require full payment for all bookings cancelled with less than 30 days’ notice. Cancellations made more than 30 days in advance will not incur charges.

If a confirmed shift is rescheduled, Book A Santa will accommodate the change only if the originally booked performer is available for the new time and date. If the performer is unavailable, the change will be treated as a cancellation (subject to the cancellation policy) and a new booking will be required.
