Clear and consistent communication is essential when operating a large-scale campaign. At Book A Santa, we prioritise maintaining strong communication between all parties to ensure the smooth, successful delivery of every project.
Before the Campaign:
Regular updates and check-ins with the Myer head office.
Direct communication with all Santa performers to confirm schedules, expectations, and training.
Regular visits and engagement with Santas throughout the year to maintain relationships and readiness.
Myer should expect communications on milestones and general updates on the project.
During the Campaign:
Daily performer check-ins through a dedicated app-based system to ensure reliability and quick response to any issues.
Immediate reporting of all incidents and resolutions, with ongoing status updates to head office where necessary.
Constant, proactive communication with Myer staff, Santa performers, and Book A Santa management.
Book A Santa requests direct communication options such as mobiles to the appropriate person during the season. Store numbers are not useful when urgency is a priority. Myer should expect any issues reported wtih solutions and/or timelines to solutions.
After the Campaign:
Delivery of a full, detailed campaign report to the head office in January.
Follow-up contact with all Santas for feedback and future planning.
By maintaining open, consistent communication before, during, and after the campaign, Book A Santa ensures high standards of service, quick problem resolution, and a seamless experience for both clients and performers.
To ensure seamless coordination across all locations, Book A Santa provides a comprehensive suite of communication and scheduling tools for all performers:
1. Online Performer App
Each performer is assigned a secure account within our custom scheduling app, which allows them to:
View and confirm their allocated shifts
Check in upon arrival at their store
Communicate directly with Book a Santa regarding updates or issues
2. SMS Communication Platform
We utilise a bulk and individual text messaging system to:
Send urgent updates or reminders
Broadcast campaign-wide announcements
Reach individual performers instantly if needed
3. Booking Confirmation Pack
Every performer receives a personalised booking confirmation form outlining:
Dates, times, and store location
Role-specific requirements and expectations
Payment details and agreed rates
Costume responsibilities and performance standards
4. Private Online Community
All active performers are invited to join our online community group (via Facebook or a dedicated platform), where we:
Share updates and best practices
Offer encouragement, guidance, and festive cheer
Provide a space for Santas and Elves to connect and support one another
